General Terms and Conditions For Travel Bookings

Refunds on unused services: Our Tours are sold as a package, and therefore, we cannot refund a client for services that he/she has decided not to utilize.

Travel Insurance: We strongly recommend that you arrange travel insurance to cover cancellations due to unforeseen circumstances or those beyond your control. Additionally, we recommend medical and personal insurance to cover medical expenses and loss of baggage or personal belongings.

Currency: Our tour package rates do not include airfare, are quoted in Euro currency, and are sold in USD at the conversion rate of the day, money will be stored and secured in our TRUST BANK ACCOUNT in Bank Of America. Electronic payments will be listed as Dragonfly Tours INC on the credit card statement.

Refusal of Travel: We reserve the right to refuse to carry any person or accept a person on the tour whose conduct or manner may cause offense or upset to other participants. The same applies to any person who is experiencing medical symptoms that could cause ill health to others or to any person we suspect may not be fit to travel or tour. We apply our standard cancellation policy in this case.

Disabilities and Medical Problems: It is the client's responsibility to ensure he/she is fit enough to tour on the departure date. Some of our tours may not be fully accessible to wheelchairs or clients with any mobility issues – we will try to accommodate disabilities and medical problems where we can, but please be aware that some of our tours may simply not be suitable for you. You must notify us upon booking about any medical problems that may affect your ability to travel on our tours so that we can advise you if your chosen arrangements are feasible for you. Should you fail to do so and as a consequence be unable to complete your trip or access a tour, we cannot be held responsible for any cost or inconvenience this may cause you if we are unable to accommodate you or any member of your party.

Complaints: We welcome suggestions and comments from our clients that allow us to optimize our services, and we take responsibility for our mistakes or failures. In the event that you have any complaint during the course of your tour, please bring this immediately to the attention of our office, guide, or driver so that we can intervene and provide a solution while the tour or another holiday experience is still taking place. If after you have ended your tour or trip you wish to further address the matter, please contact us within 21 days after your travel date at [email protected] providing all relevant information necessary to allow us to address your complaint.

Force Majeure: Dragonfly Tours INC is not liable for any events that are caused as a result of acts of God, Governments, war hostilities, political unrest, riots, civil strife, industrial dispute, labor dispute, strike, natural or nuclear disaster, fire, theft, epidemics, quarantine, medical or customs regulations, technical or administrative problems with transport, closure of airports, breakdown of machinery, adverse weather conditions, water shortages, or any other occurrences beyond our immediate control and which, despite all due care being taken, could not have been avoided. In case of force majeure, Dragonfly Tours INC will do their best to notify guests as soon as possible, offering to reschedule or providing substitute services, pending availability, or provide a refund and at full company discretion. Dragonfly Tours INC strongly recommends you purchase travel insurance.

Booking and payament:

• At the time of the booking , 20% of the total amount will be charged in US Dollars at the exchange rate of the day, as a guarantee of the reservation (not refundable).
• Total balance to be paid 45 days before departure in US Dollars at the exchange rate of the day.

Cancellation by you:
In the event of a cancellation, this must be received in writing to [email protected] and will be calculated based on Italy time. (CET)

Notice period is provided:
• Up to 46 days prior departure 20% is due (total amount of deposit)
• From 45 to 30 days prior departure 50% of the total amount is due
• From 29 to arrival day or no show 100% of the total amount is due

Refunds on unused services
Our Tours are sold as a package and therefore we cannot refund a client for services that he/she decided not to utilize.

Cancellation by us
We will only cancel tour Packages in case of unforeseeable circumstances which are beyond our control and/or which might put your safety at risk. If we cancel your tour then we will provide alternative solutions such as a different date, alternative tour, or a full refund if none of the solutions provided is feasible for you.

Changes to booking
Modifications to your confirmed services must be submitted by the primary traveler in written form via email to [email protected].
Requests for changes made before the booking pf the services incur no additional charges. However, once the bookings are made, a 30 Euro change fee will be applicable for any alterations, and additional fees may be incurred, the details of which will be communicated by our office.
While we will make every effort to accommodate your request, we cannot guarantee that we will always be able to fulfill your requirements.
In cases where we are unable to meet your change request, and if you decide not to proceed with the travel, it will be treated as a cancellation of your booking, and cancellation charges will be applied as outlined in our policy.

Changes by us
Although our company will make every effort to deliver your tour or other holiday service as advertised, we retain the right to modify itineraries or inclusions if circumstances necessitate such changes. We will endeavor to notify you of these changes with as much advance notice as possible.

Private transfer and Vehicle capacity:
When booking a private transfer or a private transfer tour quotations are given including
 Class E, 2/3 passengers; 2 large suitcases / 3 carry-ons
 Class S, 2/3 passengers; 2 large suitcases / 3 carry-ons
 Class V, 7 passengers; 7 medium suitcases / 5 large + 5 carry-on
 SPRINTER, 8 passengers; 8 large suitcases + small shopping bags / ample space for carry-ons Should the number of luggage exceed the above number, the client must inform at the time of the request.
If the client arrives with excess baggage beyond the indicated list and the booked vehicle is not sufficient, it Dragonfly Tours Italy will try to find a solution. However, any additional costs incurred, such as surcharges, will be borne entirely by the client and will be their responsibility to pay.

Hotels Accommodation
Hotels will be provided in accordance with the itinerary or similar. We reserve the right to make substitutions with hotels of equal standard. There will be no refunds for any difference in the cost of those accommodations. All rooms are double-bedded rooms with private facilities unless you have specifically requested and paid for an upgraded room category. Special requests such as, smoking preference and connecting rooms are subject to availability.
Room selection in all cases, unless otherwise reserved, is strictly at the discretion of the hotel’s management on a run-of-house basis. Triple rooms (where available) usually consist of double beds plus a sofa/folding bed or cot for third person.
Bed sizes in Italy are typically standardized, with the most common sizes being 160 cm × 190 cm (63 in × 75 in) and 180 cm × 190 cm (71 in × 75 in). These dimensions are important to consider when planning your accommodations or selecting room types, ensuring that the beds provided will accommodate your needs comfortably during your stay in Italy.

Hotel check-in time is generally not before 3:00 p.m. and check-out time is usually before noon.

Tour packages do not include tipping for tour guide, driver, porters and hotel staff. In Italy tips are not obligatory but suggested according to your satisfaction.

Some meals are included as detailed on trip itineraries.

Travel documents:
Details of the services and timings will be sent via e-mail 15 days prior date of the first service, please note that changes to the services/timings may result in additional charges. (refer to changes to the “changes booking” chapter).

Missed departures:
As a client, it is your responsibility to ensure you possess all required valid passports, visas, and other travel documents and to arrive at the designated departure point at the scheduled time. Dragonfly Tours Inc absolves itself of any liability in the event that you miss a tour or incur additional expenses due to your delay or failure to appear. No refunds will be issued for tardiness or failure to attend the tour or other services provided by us.

Your use of Dragonfly Tours constitutes your agreement to all such terms, conditions, and notices.

Legal responsibilities
Dragonfly Tours, its affiliates, and their employees, officers, directors and shareholders (herein, collectively, “Dragonfly Tours”) does not own or operate any entity which is to or does provide goods or services for your trip, including, for example, lodging facilities, airline, vessel, bus, taxi or other transportation companies, local ground or tour operators, visa processing services, providers or organizers of optional excursions, food service or entertainment providers, etc. All such persons and entities are independent contractors.

As a result, Dragonfly Tours is not liable for any negligent or willful act or failure to act of any such person or entity, or of any third party.
Without limitation, Dragonfly Tours is not responsible for any injury, loss or damage to person or property, death, delay or inconvenience in connection with the provision of any goods or services occasioned by or resulting from but not limited to acts of God, force majeure, acts of war or civil unrest, insurrection or revolt, strikes or other labor activities, criminal, terrorist or threatened terrorist activities of any kind, overbooking or downgrading of accommodations, structural or other defective conditions in lodging facilities (or in any heating, plumbing, electrical or structural problem therein), mechanical or other failure of airplanes or other means of transportation or for any failure of any transportation mechanism to arrive or depart timely, dangers associated with animals, sanitation problems, food poisoning, epidemics or the threat thereof, disease, lack of access to or quality of medical care, difficulty in evacuation in case of a medical or other emergency, or for any other cause beyond the direct control of Dragonfly Tours.
Participant assumes all such risk. Dragonfly Tours reserves the right to change or cancel the tour, the tour itinerary or any aspect of a tour at any time. From time to time, Dragonfly Tours may photograph or video tour and tour-related activities. You consent to the use of your likeness in Dragonfly Tours publications, without compensation. Dragonfly Tours makes every effort to ensure the accuracy of its publications, but it cannot be held responsible for typographical or printing errors, including but not limited to prices.

Dragonfly Tours reserves the right to decline to accept or retain any traveler on the tour if that person’s presence is likely to be detrimental to the enjoyment of the tour by others or for failure to abide by Dragonfly Tours’s regulations and/or the directions of the Tour Director. Travelers who have been removed from their tour waive the right to a refund of any part of the fee. Dragonfly Tours may send the traveler home at the traveler’s own expense. Dragonfly Tours are not for resale, and travelers must enroll directly with Dragonfly Tours. No warranties, representations or waiver of these Terms & Conditions apply to any tour unless expressly stated within these Terms & Conditions.
